Administrator (Gas Turbines – Peterhead)

The Administrator will be responsible carrying out any administrative duties relating to work within their department. All work shall be carried out in accordance with company policies, procedures and work instructions.   There are administrative roles available in 2 departments.  Tasks will vary according to role but below is a summary.

  • Ensure all work is carried out in accordance with company policies, procedures, standards and work instructions
  • General admin duties i.e. typing, data input, filing, scanning & archiving
  • Correspond and communicate professionally with both internal and external clients
  • Update and utilise company systems – electronic and paper based
  • Manage telephone calls and enquiries
  • Open and process of all repair / supply / exchange jobs
  • Produce various paperwork required for job e.g Goods / PO Acknowledgements, QA cards, Certification etc
  • Update and maintain Status Sheet as and when required
  • Produce status reports to specific customers on a regular basis
  • Update and maintain reports for customer visits as and when required
  • Create / Update purchase requisitions
  • Order stationery for department on monthly basis
  • Produce weekly sales invoices and update all registers accordingly
  • Update and maintain all Customer Portal systems where required
  • Arrange/book any necessary travel if required
  • Order company Business Cards as and when required
  • Provide cover/ back-up assistance for Trainee Administrator during absence /holidays
  • Update & utilise company systems, opening and closing orders
  • Processing FAIR paperwork
  • Any other reasonable duties as required to meet the needs of the business
  • Qualification to minimum SVQ level 3 in admin related discipline
  • Good attention to detail
